Grounded in Asset-Based Community Development (ABCD) and over a decade of practice (e.g. Resilience Trails), we work with public agencies, corporates, and community partners to build capabilities in dignity, empathy, and relational engagement.

The Role

We are seeking a highly organised, proactive, and people-oriented Programme & Operations Manager to lead the end-to-end operationalisation of Skillseed’s training and community programmes.

This role places strong emphasis on programme management excellence — ensuring that projects, trainings, workshops, and community engagements are executed with exceptional timeliness, accuracy, coordination, and fidelity to intended outcomes.

The candidate will work closely with Skillseed’s trainers, community stakeholders, associates, and internal teams to ensure seamless programme delivery across multiple moving parts and stakeholders.

In addition to programme management responsibilities, the candidate will also support selected facilitation and experiential learning engagements, including selected training workshops and Resilience Trails (RTs), where appropriate.

We are looking for someone who thrives both in operational execution and human engagement — someone who is meticulous with systems and details, while also able to connect warmly and professionally with people from diverse backgrounds.

Key Responsibilities

1. Programme & Project Management (60% of the role)

End-to-End Programme Operations

  • Lead the end-to-end planning, coordination, operationalisation, and execution of Skillseed’s training programmes, workshops, learning journeys, and community engagements.

  • Develop and maintain detailed project timelines, workplans, trackers, SOPs, logistics plans, and programme documentation.

  • Ensure programmes are executed with high levels of timeliness, professionalism, accuracy, and operational excellence.

  • Manage our Learning Management System (LMS) and related processes to support continuous learning, communication, and participant engagement beyond formal training sessions.

  • Coordinate closely with trainers, facilitators, community stakeholders, associates, vendors, and internal support teams to ensure smooth programme delivery.

Stakeholder & Partner Relationship Engagement

  • Serve as a key liaison point between internal teams, client partners, community stakeholders, trainers, and participants.

  • Build and sustain warm, professional, and trustworthy relationships with stakeholders across public, private, and people sectors.

  • Anticipate operational gaps, troubleshoot issues proactively, and ensure smooth communication across stakeholders.

Training & Programme Coordination

  • Work closely with our Project Coordinator colleague and interns to coordinate training schedules, participant communications, venue logistics, programme materials, briefing documents, and facilitation requirements.

  • Support quality assurance processes to ensure programme fidelity and positive participant experiences.

  • Assist in post-programme follow-up, feedback collation, impact tracking, and reporting.

Operational Systems & SOP Management

  • Oversee & support the development, refinement, and implementation of SOPs, workflows, operational systems, and programme processes.

  • Ensure accurate documentation and filing of programme records, participant data, reports, and operational resources.

  • Contribute to improving internal systems and operational efficiency over time.

Reporting & Impact Tracking

  • Support programme evaluation, impact tracking, and reporting processes.

  • Collate programme statistics, participant feedback, operational learnings, and impact indicators where required.

  • Assist in preparing reports and updates for management, partners, and funders.

2. Facilitation & Ground Engagement Support (40% of the role)

Training & Workshop Facilitation

  • Support the facilitation of selected training workshops, experiential learning programmes, and learning journeys alongside Skillseed trainers and facilitators.

  • Assist in participant engagement, group facilitation, and experiential learning activities where appropriate.

  • Support preparation of facilitation materials, demos, and participant engagement processes.

Resilience Trails (RTs, Skillseed’s flagship learning journeys co-created with residents)

  • Support and/or co-facilitate selected Resilience Trails alongside Community Guides, trainers, and facilitators.

  • Help ensure smooth operational coordination and participant experience during RTs.

  • Engage participants in a warm, respectful, and relational manner aligned with Skillseed’s values.

Who We’re Looking For

Professional Skills & Experience

  • Proven ability to manage complex projects and programmes involving multiple stakeholders, timelines, logistics, and moving parts. Recent experience in this area would be preferred.

  • Strong operational coordination and project management skills with excellent attention to detail, organisation and follow-through.

  • Strong organisational ability and ability to independently manage priorities in a fast-paced environment.

  • Excellent interpersonal and communication skills, with the ability to engage both professionally and warmly with diverse stakeholders.

  • Strong writing, documentation, and reporting abilities.

  • Experience in training coordination (e.g. in the L&D and Org Dev space), community engagement, events, facilitation, education, social impact, or related fields would be advantageous.

Projected Start Date

  • Contract Terms – A 2-year full-time contract (renewable) with competitive remuneration (between $4.5 to $6k), commensurate with experience. At Skillseed we are in it for the long haul; likewise when we select teammates.

  • Work-Life Balance – Hybrid working arrangements (in-person and remote work), with 2 days WFH, 3 days WFO, and adjustable start/end times daily, with occasional evening/weekend commitments to engage with community activities (with Time-off provided).
